Who we are

Industry Training Solutions Limited (trading as ITS / Whakangungu Ahumahi) is an NZQA Category 1 Private Training Establishment (provider #7837) at Level 1, 515 Main Street, Palmerston North 4410, New Zealand. We are committed to protecting your personal information in accordance with the Privacy Act 2020 and the New Zealand Privacy Principles. Our Privacy Officer can be contacted at privacy@its.ac.nz.

What information we collect

We collect personal information necessary to provide our education and training services:

• Identity: full legal name, preferred name, date of birth, gender, ethnicity, iwi affiliation, National Student Number (NSN)
• Contact: email address, phone number, employer or organisation
• Enrolment and study: courses enrolled in, delivery mode, progress, assessment results, credits awarded
• Funding compliance: residency, citizenship, prior education, IRD number (required for TEC reporting from August 2025)
• Support needs: any learning support information you choose to share
• Financial: fee payment records (via Xero — we do not store card numbers)
• Profile photo: if you choose to upload one through your learner portal
• Website usage: cookies and analytics to improve our site (see Cookies below)

How we use your information

• Process your enrolment and deliver your training
• Meet legal reporting obligations to TEC via the Single Data Return (SDR) and Indicative Enrolment Collection (IND)
• Report to NZQA for quality assurance and your Record of Achievement
• Communicate about your study — progress, support, and important notices
• Issue invoices and process payments
• Send marketing about relevant courses (only with your consent — opt out any time)
• Meet our obligations under the Education and Training Act 2020 and the Pastoral Care of Tertiary and International Learners Code of Practice 2021

Who we share your information with

We share your information only where necessary and lawful:

• Tertiary Education Commission (TEC) — SDR/IND statutory reporting
• NZQA — qualification recording, NSN management, Record of Achievement
• Ministry of Education — national education data infrastructure
• Cloud Assess — online learning and assessment platform
• SELMA SIS — student management system (NZ-hosted)
• Xero — invoicing and financial records
• Resend — transactional email (e.g. your sign-in link)

We do not sell your personal information. We do not share it with advertisers.

How we store and protect your information

Your information is stored on Cloudflare infrastructure (Australia/United States) and NZ-based systems. We use HTTPS encryption, HMAC-signed session authentication, and role-based access controls. Staff access to learner data is restricted by role and logged. We retain records for a minimum of seven years after your last enrolment as required by NZQA and TEC, or longer if required by law.

Your rights

Under the Privacy Act 2020 you have the right to:

• Access personal information we hold about you
• Correct inaccurate or incomplete information
• Know how your information is used
• Complain to the Privacy Commissioner if you believe we have breached the Act

Cookies

We use two types of cookies:

• Essential cookies: required for the site and learner portal to function (session authentication). These cannot be declined.
• Analytics cookies: help us understand how people use the site so we can improve it. You can decline via the cookie banner.

We do not use advertising or tracking cookies and do not share cookie data with advertisers.

Marketing

With your permission we may send information about courses, events and news. Opt out at any time via the unsubscribe link in any email or by emailing info@its.ac.nz. Opting out does not affect essential enrolment communications.

Young people

We enrol learners aged 16 and over. For learners under 18 we may share appropriate information with schools, parents or guardians and support agencies as part of our pastoral care obligations under the Code of Practice.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. We will notify enrolled learners of significant changes by email.
